Our commitment to privacy

We will never record your therapy sessions.

That is not a feature. It is a principle. Here is exactly why we built NoteSono this way, and what it means for you and your clients.

Why we do not record sessions

The therapy room is one of the last places where a person can speak completely freely. The moment a client knows their words might be processed by an AI — even with consent — something changes. The silence becomes heavier. The disclosure becomes more calculated. The relationship becomes something less than what therapy should be.

We built NoteSono after speaking to UK therapists about their admin burden. Every single one of them said the same thing: they wanted help with notes, but they were not willing to compromise the therapeutic space to get it. We agreed. So we never built session recording.

    How it actually works

After your session ends and your client has left, you open NoteSono and speak a brief summary in your own words. You decide what to include. You control what the AI sees. NoteSono takes your summary and formats it into a structured clinical note.

    1

Your client speaks in session. No recording. No AI. Just therapy.

    2

After the session, you dictate a short clinical summary — usually 1 to 2 minutes. Only your words enter the system.

    3

The audio is transcribed to text, then permanently deleted. Nothing is stored.

    4

The AI formats your summary into a clinical note. It only knows what you told it.

    5

You review, edit, and mark complete. The note is yours. Stored securely in the UK.

What this means for GDPR and your ethics

Under UK GDPR, the lawful basis for processing client data in therapy is typically the performance of a contract or a legitimate interest. When you use AI tools that record sessions, your clients' spoken words become data processed by a third party — which requires explicit, informed consent and careful documentation.

With NoteSono, your clients' words never enter the system at all. The only data processed is your own clinical summary — your professional assessment and observations. This is fundamentally different from session recording, and significantly simpler to handle ethically and legally.

    Our specific commitments

    We will never record sessions

NoteSono has no session recording feature. This is not a setting you can turn on. It does not exist.

We do not keep your recording

Your voice summary is transcribed to text and we discard the audio. It is not stored or backed up by us. Our transcription provider (named in our privacy policy) may hold it for up to 30 days for abuse monitoring and then deletes it; it may not use it to train its models.

No client names from your records

Your clients are identified by reference codes, and we never send names from your client records to the AI. Whatever you say or type in a summary is sent as you gave it, so use initials or a code rather than a name.

All data is stored in the EU

Your notes, client records, and account data are stored in the EU. AI transcription and drafting use providers outside the UK under data processing terms; see our privacy policy for each one.

We do not train AI on your data

Your notes and summaries are never used to train AI models. Not ours, not our AI providers'. Your clinical work is yours.

    You own your data

You can export everything and delete your account at any time. We do not lock you in. Your notes are yours.

    We are ICO registered

NoteSono is registered with the Information Commissioner's Office under registration number ZC045529. You can verify this at ico.org.uk.

    The BACP consent template

NoteSono includes BACP-aligned consent wording that you can add to your existing client contract. It explains clearly that you use an AI documentation tool, that no session content is recorded, and that your post-session summaries are processed to create clinical notes.

Most clients, when this is explained clearly, have no concerns. The key is transparency — and the consent template makes that easy.
